Uploading Documents
You can upload personal documents to GuidanceAI so that every coach you chat with has access to your own reference material. This means coaches can give you more relevant, personalised advice based on your specific context.
What Are Personal Documents?
Personal documents are files you upload that provide background information about you, your business, or your situation. When you chat with any coach, the platform automatically searches your documents for relevant information and includes it in the conversation.
For example, you might upload:
- A business plan so coaches understand your company
- Meeting notes or reports for context on a project
- Policies or guidelines you want coaches to reference
- Audio recordings of meetings or calls (these are transcribed automatically)
How to Upload
- Go to your Dashboard and click About Me in the sidebar, then select Upload Files.
- Drag and drop files onto the upload area, or click to browse your files.
- You will see a progress indicator as your file is processed.
- Once complete, the file appears in your document list with a green Ready status.
Supported File Types

Audio files are automatically transcribed before being added to your document library.
Your total storage limit is 50 MB across all files. You can see your current usage at the top of the Upload Files page.
How Documents Work in Chat
When you send a message to any coach, the platform automatically searches your uploaded documents for information relevant to your question. If relevant content is found, it is provided to the coach alongside your message.
You do not need to do anything special -- it happens automatically in every conversation.
Upload documents that contain information you find yourself repeating to coaches. This saves you time and helps coaches give better answers from the start.
Deleting a Document
- On the Upload Files page, find the file you want to remove.
- Click the delete icon on the right side of the file row.
- Confirm the deletion in the dialog that appears.
The file and all its data are permanently removed. This action cannot be undone.
Privacy & Security
- Your documents are private to you -- no other user or coach owner can see them.
- Documents are only used to provide context in your own conversations.
- Files are stored securely and are never shared with third parties.
Personal documents supplement the coach's own knowledge base. If there is a conflict between your documents and the coach's built-in knowledge, the coach's knowledge takes priority unless you specifically reference your own documents.
